Your Information

This Privacy Notice is designed to give you basic information on what data we collect, how we use it and what your rights are. A detailed version of Inspire’s Privacy Notice can be found on the Inspire website. www.inspirewellbeing.org

Inspire is a registered Charity with the purpose of providing residential, social care and workplace services.

Inspire is the ‘Controller’ of the personal data that you provide to us.

What information do we collect and hold?

We collect a range of data so that we can provide our service to you.

  • Personal details. Your name, gender and date of birth, etc.
  • Special category personal details. Your race, ethnic origin, religious belief, sexual orientation and health information, etc.
  • Health and wellbeing records. Reports from other service providers, diagnosis information, medication lists, medical history, treatment records, appointment records, assessment records, etc.
  • Contact details. Your address, telephone number and email. The address, telephone number and email of people connected to you such as family members or other professionals who are involved in your life, etc.
  • Records of contact. Care and support notes, records of visits or telephone calls, records of groups or sessions attended, etc.
  • Safety and Security, CCTV footage, safety & security event records, incident records, etc.

Why we need to this information?

We need to know this information in order to provide you with the service(s) being offered to you. The information allows us to:

  • Communicate with you and the people important to you.
  • Provide safe and effective care and support.
  • Maintain the records we are legally obliged to and comply with legislation.
  • Coordinate with organisations and funders about the service or your care, support and treatment.
  • Evaluate and improve the quality of the service offered to you and train our workers.
  • Investigate when something untoward has happened or if you were unhappy with the service or our actions.

Inspire will only collect personal information needed to provide our services to you, unless we ask for additional specific consent.

How do we store your information?

Your information is always stored safely and securely in accordance with the law. Some of your information is stored on paper records for ease of collation and access. Most of your information is stored on an electronic client management system. This is software accessed though devices belonging to Inspire. Some of your records will also be stored at an offsite storage facility. This will mainly be the minimum amount of information required to be kept as an archive so that we can comply with legislation around retaining information.

All your information, however it is stored is done so in a way that only people who are allowed to access it may do so. Common measures include, paper records being kept locked away, electronic records being password protected and restricted access to archives.

Your information is kept according to our retention and disposal schedule, which is based on the most current data retention practices, guidelines and legislation. Your information is kept for the minimum amount of time it is in use or is required to be kept by law.

As soon as your information is no longer needed it will be permanently destroyed or deleted.

Some of your information will be processed locally at the service you use. Any electronic records are processed through UK based third party companies.

Your information is not processed or transferred outside of the EU or UK.

Peace of Mind project

As Peace of Mind is a partner project, funded and supported by PEACEPLUS and SEUPB, some of your information will also be shared with our Lead Partner, Verbal Arts. This will be for their project reporting purposes and to ensure there has been no duplication of delivery throughout the lifespan of the project.

A separate document will be provided to you to detail the Open University’s role within the project and an explanation on how to consent to their research. Separate consent should be sought for information to be shared with them. Only information given on their OU documentation will be shared with the OU.

What are your rights?

Under data protection law, you have the right to:

  • Request to see the information we hold about you.
  • Ask us to have your personal information corrected or
  • Ask to restrict the processing of your personal information in certain circumstances.
  • Ask us that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

If you wish to exercise any of your rights you can contact us or email sar@inspirewellbeing.org or to raise a complaint on how we have handled your personal data, you can contact our Data Protection Officer dpo@inspirewellbeing.org, who will investigate the matter.

You are not required to pay any charge for exercising your rights. If you make a request we have on calendar month to respond to you.
